Identify and proactively resolve your 3 most at-risk customer relationships before they review

1–2 hours. Impact: critical Effort: high

Proactively finding your most at-risk customer relationships and fixing them BEFORE they turn into a negative review. Instead of reacting to bad reviews, you get ahead of them — reach out to the customers most likely to be unhappy and make it right first.

The best negative-review strategy is preventing the review. A single one-star review can undo a dozen good ones and sits there permanently. The customers about to leave one usually give off signals first — a complaint, a problem, silence after a rough experience. Reaching them first turns a would-be detractor into a saved (often loyal) customer, and quietly protects your rating.

How to do it

  1. 1
    Identify your at-risk relationships
Look for the signals: a recent complaint, a service that went wrong, a project with friction, a normally-engaged customer who's gone quiet. List the two or three most likely to be unhappy right now.
  2. 2
Reach out personally, before they do
Contact each one directly and genuinely — 'I wanted to check in and make sure we got this right for you.' Not a survey, a real human reaching out. This alone often defuses the frustration.
  3. 3
    Actually fix what's wrong
Listen, acknowledge, and make it right — a redo, a refund, a fix, a genuine apology. Solving the real problem is what converts an at-risk customer into a satisfied (often more loyal) one.
  4. 4
Then, once they're happy, it's fine to invite a review
A customer whose problem you fixed well often becomes a bigger fan than one who never had an issue. Once genuinely resolved and happy, a light review invitation is welcome — but the point was the save, not the review.

How you'll know it's done

You've identified your most at-risk customers, reached out personally, genuinely resolved their issues, and turned likely detractors into satisfied customers before any negative review happened.
