Setting up a process to catch and appeal fake or policy-violating reviews — the scam one-star reviews from competitors, bots, or people who were never customers. Knowing how to flag them and get them removed.

Not every negative review is honest feedback — some are fake, malicious, or against the platform's rules, and those you can often get removed. A single fraudulent one-star can drag your rating and mislead buyers. Having a process means you catch them fast and fight the ones that are genuinely illegitimate (not just unflattering).

Monitor your reviews regularly

Turn on notifications and check periodically so you spot a suspicious review quickly — the faster you act, the less damage it does and the fresher the evidence.

Know what actually qualifies for removal

Platforms remove reviews that violate policy — not just negative ones. Fake reviews, reviews from non-customers, competitor attacks, hate speech, off-topic rants, or conflicts of interest usually qualify. An honest bad review does not — that you respond to, not report.

Flag it through the official process with evidence

Use the platform's report/flag function and clearly state which policy it violates, with any evidence (no record of them as a customer, signs it's a competitor, etc.). Specific, policy-based reports get actioned; vague 'this is unfair' ones don't.

If the first flag fails, many platforms allow escalation or appeal. While it's pending, leave a calm, professional public response so anyone reading sees your side — never leave a fake accusation unanswered.

Common mistakes

Trying to remove honest negative reviews you just don't like — that's not what the process is for, and it fails.
Reporting vaguely ('this is unfair') instead of citing the specific policy violated.
Not monitoring, so fake reviews sit and do damage before you notice.
Leaving a fraudulent review unanswered publicly while you wait on the appeal.
